What we automate

The repetitive work that quietly eats your team's week

We map where the hours actually go, then automate the highest-volume, lowest-judgment steps first. An AI model handles the parts that need reading or deciding; ordinary software handles everything around it, with a person approving anything where the stakes are real.

10 business tasks worth automating with AI

Lead Intake & Follow-up

Every form, email and missed call gets an immediate, accurate first response, lands in your CRM, and is routed to the right person.

Call Handling & Booking

Inbound calls answered, qualified and booked into your calendar — through our AI Receptionist or a custom voice flow.

Scheduling & Reminders

Calendar booking, confirmations, reminders, no-show recovery and review requests that run on their own.

Document Processing

Invoices, applications and intake forms read and posted into your systems, with an exceptions queue for anything unclear.

Reporting Pipelines

Weekly and monthly reports assembled from your data, drafted and sent automatically — preview-before-send when you want it.

System Integrations

CRM, accounting, payments, calendar and marketing tools connected so data is entered once and lands everywhere it's needed.

Who it's for

Automation for businesses that have outgrown copy-paste

AI automation is software that does the repetitive parts of a job for you: reading an inbound email and replying with the right answer, pulling the numbers out of a PDF and entering them into your accounting system, assembling the Monday report, or chasing a lead that came in at 11pm. The AI model handles the step that needs judgment — understanding what a customer is asking, classifying a document, drafting a summary — and conventional software handles the rest: triggers, retries, permissions, logging and the hand-off to a person.

Our clients are usually small and mid-size businesses with a real operation behind them: service companies, practices, agencies, insurance and sales teams, e-commerce brands. They've typically tried to solve the problem with Zapier, n8n or a stack of spreadsheets and it worked until it didn't — an automation broke silently, a step needed someone to read something, or volume outgrew the tool. That's the point where automation needs to be built like software, and that's the work we do.

What gets built is specific to how you operate, but it usually falls into a few shapes: a lead pipeline that responds, qualifies and books without waiting for someone to check the inbox; a document pipeline that extracts, validates and posts data with a review queue for exceptions; a reporting pipeline that writes the narrative as well as the numbers; and the integrations that let your CRM, calendar, payments and accounting systems stay in sync. When the work is phone calls, we start from our own AI Receptionist rather than building voice from scratch.

Every automation ships with the parts that keep it switched on: a human approval step anywhere a mistake would reach a customer or cost money, retries for the APIs that fail, alerts when something unusual comes in, and an audit trail of what the system did and why. You own the code and the accounts it runs in. If you'd rather keep a no-code tool for the simple triggers, we'll build around it instead of replacing it for the sake of it.

A good fit if

  • Someone on your team re-keys the same data into two or more systems every week.
  • Leads arrive by phone, form and email and the reply depends on who checks first.
  • A Zapier or n8n flow runs part of the business and nobody wants to touch it.
  • Reports are assembled by hand from exports every week or month.
  • You want a measured hours-saved estimate before committing to a build.
Who we build for

Built for teams stuck between options

The signals we look for, the painful realities we hear, and the way we typically resolve them.

01

Service businesses missing leads

Pain

Calls go to voicemail while crews are on jobs, and web leads wait until someone gets back to the office.

Solution

An AI first response on every channel — calls, forms, texts — that qualifies, books the job and sends the team a summary.

02

Operations running on a no-code stack

Pain

A web of Monday.com boards, n8n flows and spreadsheets runs onboarding, payments and reporting, and it breaks when anyone changes a column.

Solution

One purpose-built system with the same workflows as real code: typed data, queues, retries, permissions and an audit trail.

03

Back offices re-keying documents

Pain

Invoices, applications and intake forms are read by a person and typed into two or three systems.

Solution

Extraction with validation rules and an exceptions queue, posting straight into your accounting system, CRM or database.

04

Owners building reports by hand

Pain

Every week someone exports several spreadsheets to build a report leadership skims in two minutes.

Solution

A pipeline that pulls the data, drafts the narrative and sends the report on schedule, with preview-before-send if you want it.

How it runs

From mapped workflow to running automation

Every engagement follows the same shape, so you know what you're paying for at each step and can stop after any of them.

  1. 011–2 weeks

    Paid discovery

We sit with the people doing the work, map the workflow step by step, and mark which steps need judgment and which are pure mechanics. You get a written plan, an hours-saved estimate and a fixed-fee build estimate you own whether or not we build it.

  2. 023–6 weeks

    First automation

We build the highest-value workflow first, end to end, connected to your real systems. Approval steps, logging and alerting are part of the first version, not a later phase.

  3. 03

    Supervised launch

The automation runs alongside your team before it runs alone. We review its output against what a person would have done, tune the prompts and rules, and widen its scope as confidence grows.

  4. 042-week sprints

    Extend in sprints

Once the first workflow is trusted, we add the next one in two-week sprints. Each sprint ends with something running in production, not a status update.

These are typical ranges, not promises. Discovery replaces them with a timeline for your workflow, written into the fixed-fee estimate.

Why choose us

Built for ownership, scalability, and the long haul

Automation that stays switched on because your team trusts it.

Reliable by design

Retries, approvals, audit logs and alerts — so automation fails loudly and safely instead of silently.

Hours saved, measured

We estimate the time saved before we build and instrument it afterwards, so the return isn't a guess.

You own all of it

Code, accounts, data and integrations live in your name. No per-task platform fees, no lock-in.

Technology stack

Opinionated, but not married to a stack

We default to a tight set of tools we trust in production, and pick the right one for each layer.

What is AI automation?

AI automation is software that completes repetitive business tasks on its own, using an AI model for the steps that need reading or judgment — understanding an email, classifying a document, drafting a summary — and ordinary code for everything else. The result is a workflow that runs without someone copying data between tools, with a person approving the steps where a mistake would matter.

How is this different from Zapier or n8n?

Zapier and n8n are good at simple triggers between two apps. They struggle when a step needs judgment, when volume grows, or when a failure needs a person to review it — and they usually fail silently. We build automation as real software with an AI step where it's needed, plus approvals, retries, logging and alerts. Where a no-code flow is doing its job, we leave it alone.

Which tasks should we automate first?

The ones that are high-volume, low-judgment and already well understood: lead follow-up, appointment booking and reminders, document data entry, and recurring reports. We rank candidates in discovery by hours saved against build effort and start with the one that pays back first.

What happens when the AI gets something wrong?

We design for it. Anything customer-facing or financial that you specify goes through a human approval step, every action is logged with its inputs, and unusual cases are routed to an exceptions queue with an alert instead of being guessed at. The system fails safe, not silent.

Can you automate around the software we already use?

Almost always. We regularly integrate Google Workspace, QuickBooks, Stripe, HubSpot, Shopify and Twilio, and most systems with an API. If a tool you rely on has no API, we'll tell you in discovery what's possible and what isn't before you pay for a build.

How long does an AI automation project take?

Discovery usually takes one to two weeks and ends in a fixed-fee estimate. A first automation with real integrations typically ships in three to six weeks, then new workflows are added in two-week sprints. An AI receptionist on our existing product can be live much faster because the voice platform is already built.

What does AI automation cost?

It depends on the workflow, the number of systems involved and how much judgment the AI step needs, which is why we don't quote off a phone call. The paid discovery produces a fixed-fee estimate alongside the hours-saved estimate, so you can compare the two before deciding.

Do you work with businesses outside Tampa and Los Angeles?

Yes. We meet clients in person in Tampa Bay and Greater Los Angeles and work remotely with businesses across the US. Discovery works the same way either way — we just do the workflow mapping over video.

Ready to build?

No pressure. We'll help you clarify scope, budget, and the best technical path forward.
